What we collect when you book a call-out or get in touch, why we collect it, how long we keep it, and what you can ask us to do with it.

Who we are

London Network Engineers is an independent networking, cabling and Wi-Fi call-out service operating across North, South, East & West London and surrounding areas. We are the "data controller" for the personal information described in this notice.

You can reach us at hello@londonnetworkengineers.co.uk or 020 0000 0000. Our registered address is [ADDRESS: TBC].

What we collect

When you fill in the booking form we collect your name, phone number, postcode or address, the issue type you select, and anything you write in the message field. If you tell us whether you own the property or need landlord or managing-agent permission, we record that too, because it determines whether we can carry out the work.

If you call, text, email or message us on WhatsApp, we keep a record of that correspondence.

When you visit the site, our hosting provider automatically logs technical data such as your IP address, browser type and the pages you viewed. This is used to keep the site running and secure.

Why we use it, and our lawful basis

To respond to your enquiry, arrange a survey or first visit, and quote for work. Lawful basis: taking steps at your request before entering into a contract.

To carry out and invoice work you have commissioned. Lawful basis: performance of a contract.

To keep records of jobs, test results and as-built plans. Lawful basis: our legitimate interest in being able to stand behind our work and answer questions about it later, and in some cases a legal obligation.

To keep the website secure and working. Lawful basis: our legitimate interest in running the site safely.

We do not use your details for marketing unless you ask us to, and we never sell them.

Who we share it with

Our form handler (Web3Forms), which delivers booking enquiries to our inbox. Our website host (Vercel). Our email provider. If you commission work, our accountant and, where relevant, HMRC.

Where a job needs landlord, freeholder or managing-agent sign-off, we will share only what is necessary to get that approval, and only with your knowledge.

We do not share your details with broadband providers, equipment suppliers or any other third party for their own marketing. That would contradict the whole basis on which we work.

How long we keep it

Enquiries that do not lead to work: up to 12 months, then deleted.

Records of completed work, including test results and as-built plans: six years, which covers the period in which a claim could be brought and matches the retention period for financial records.

Website server logs: typically 30 days.

Your rights

Under UK data protection law you have the right to ask for a copy of the personal data we hold about you, to have it corrected if it is wrong, to have it deleted where we no longer need it, to restrict or object to how we use it, and to receive it in a portable format.

To exercise any of these, email hello@londonnetworkengineers.co.uk. We will respond within one month.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
